What is an inventory?
A property inventory is a legal document which offers an accurate record of the condition of the property at the beginning of the tenancy. It contains the furnishings, fixtures, and fittings of a property, including a full description of the condition of walls, ceilings, floors and carpets, paintwork, light fittings, woodwork, windows, radiators etc. So at a later date the report could be used to prove whether there has been damaged caused. The document is agreed by both landlord and tenant.

What is a check in?
At the start of a new tenancy with the prospective tenant an examination of the property is carried out in order to note and record the condition and changes from inventory or the previous check out report for the entire property including fixtures, fittings. Meter readings will be taken, keys will be handed over followed by the filling in of the schedule of condition and signing of the check in declaration stating that the tenant and landlord/property manager agree with the information presented at the time of the check in. If there have been significant changes to the property, a new inventory will be required. We advice our clients to give us fair notice if this is the case, so we can keep to there deadlines. To authenticate the inventory it needs to be signed by the landlord and tenant or representative. The inventory and check in should be kept safe, in case of a dispute at the end of the tenancy. What is a check out?
At the end of the tenancy a Check-out inspection is carried out. Notes are made of any variations since the Check-in. Any changes will be noted, highlighted, and photographed in detail with liability responsibility assigned to either the tenant or landlord such as general wear and tear or damages. The tenants can be present to witness and sign for the report to say that they agree with what has been documented Cleaning is often a major area of dispute. Landlords and tenants are advised to retain all receipts relating to cleaning and repairs carried out before or during a tenancy. It is noted that an inventory clerk cannot usefully comment on any alterations or additions made after the check in, unless they have been instructed to revisit the property to examine the changes. The check out report is what most landlords would use to claim, in a court of law a claim is more favourably if it was complied by an independent and unbiased party, such as an independent inventory clerk.

Inspections
At each six monthly intervals, the landlord can instruct us to re-inspect the property. The clerk inspects the property with the tenant present to see how the tenant is looking after the property, taking in to consideration ware & tear, neglect, cleanliness, maintenance problems any outstanding issues the tenant may have or improvements they have done.
